Email templates across two sequences. {{fields}} resolve from the tables below; text in "quotes" is literal email copy.
All of these ship on SES, the billing rail, sent from a named person rather than a marketing address.
Two acquisition variants (A/B). Group A is a free plan whose credits run out, then the user upgrades and is charged on the spot. Group B is a 7-day paid trial (card given upfront) charged at day 7. Both renew a year later, so both share the renewal sequence below.
Cadence follows the provider, not the calendar. Stripe and Paddle retry a failed charge a variable number of times (usually 3 or 4) over about a month, on their own algorithm. We can't number the retries ahead of time, but the provider does tell us which one is its final attempt. So we send one email on the first failure, one on each further retry, and one on the final retry it flags. Access pauses at a fixed 30 days from the first failure, whatever the retries do.
Every email is clear, easy to act on, and honest about what's at stake from the very first one. Urgency escalates across the retries; the tone stays calm and never punitive.
| Stage | What the message should do |
|---|---|
| First attempt | Clear and prompt so it gets noticed, surface the specific fix by decline reason, and name what's at stake after the pause date. Keep it low-pressure: the account is fine for now and the fix is quick. |
| First re-attempt | Gentle nudge. We tried again and it's still pending. Name what's at stake, stay calm. |
| Nth re-attempt | Persistent, not naggy. Reinforce the pause date and what they would lose. Reassure their work is safe. |
| Last re-attempt | Urgency up. This is the final automatic try, so act before the pause date or the plan pauses. |
| Account paused | Calm and factual, never punitive. Say what is on hold, reassure decks are safe, make reactivation one click. |
| Plan | Annual | Credits | Trial throttle | Notes |

Hi Mani,
We tried to renew your Pro plan, but the payment didn't go through.
The card on file has expired.
Your account stays active until 21 Apr 2026. After that your decks become view-only, with no editing or exporting, until the payment clears. If you've already taken care of it, you can ignore this.

Hi {{first_name}},
We tried again and still couldn't renew your {{plan_name}} plan. Your account stays active until {{pause_date}}. After that your decks become view-only, with no editing or exporting, until the payment clears.
You've built {{deck_count}} decks in Presentations.AI. They stay right where they are, along with your AI assets and {{credits}} credits. One card update keeps everything running.
Your {{plan_name}} plan and your decks are all still here. Update the card to keep them, and everything picks up exactly where you left off.
{{sender}}, Presentations.AI
Active vs dormant. A user is active if they created or edited a deck in the last 30 days, or created more than 10 decks in the last 365 days, or have any published link or export. Otherwise they're dormant, and when it's borderline, default to active. The deck count shown in the active version is their whole library (the work that goes view-only), not just the last 30 days.
Hi {{first_name}},
We've tried your card a few times now, and that was the last automatic attempt. On {{pause_date}} your {{plan_name}} plan pauses and your decks become view-only. You can't edit or export them until the payment clears.
Updating your card now is the surest way to avoid the interruption.
Nothing is deleted either way.
{{sender}}, Presentations.AI
Hi {{first_name}},
Your {{plan_name}} plan is now paused because the renewal didn't go through within 30 days. Here's exactly where things stand:
• No editing or creating new decks
• No exporting to PPT or PDF
• Published links are offline
• Your decks and files are safe, but view-only until you reactivate
Everything comes back the moment your plan is active. No re-setup, no lost work.
{{sender}}, Presentations.AI
Hi {{first_name}},
It's been about a month since your Presentations.AI plan lapsed. Your work hasn't gone anywhere. Your decks, your AI assets, all of it is still in your account.
If the timing wasn't right before, coming back is easy. Your {{plan_name}} plan reactivates in a click. Everything's exactly as you left it.
If your projects have grown, Gold steps up to 50,000 credits and room for heavier work. Either way, Pro is one click away.
Omit the upsell block. Gold has nowhere to go, so lead only with the work waiting for them.

Same 3-retry cadence. The trial has already ended, so the user is on the free tier while the retries run. The whole sequence depends on a Paddle/Stripe webhook that doesn't exist yet.
Hi {{first_name}},
Your 7-day {{plan_name}} trial has ended, but the payment to start your plan didn't go through.

Your trial decks are saved. Add a working card and your {{plan_name}} plan starts right away, with all {{credits}} credits.

Hi {{first_name}},
We tried again and the charge to start your {{plan_name}} plan still didn't clear, so you're on the free tier for now. Your trial decks are safe.
Updating your card is the quickest way to pick up where you left off, with all your credits and features.
{{sender}}, Presentations.AI
Hi {{first_name}},
We tried your card a final time and the charge to start your {{plan_name}} plan still didn't clear. That was the last automatic attempt, so your plan won't start unless you update your card.
Adding a working card starts your plan right away, with all your credits and features.
Your trial decks are safe either way.
{{sender}}, Presentations.AI
Hi {{first_name}},
After 30 days of retries, we still couldn't start your {{plan_name}} plan, so your account stays on the free plan. Your trial decks are safe.
Whenever you're ready, adding a working card starts the plan with all your credits and features.

Team plans are billed per seat to one workspace owner, so a failed charge affects the whole workspace. These go to the billing owner (the only person who can fix payment), and the copy shifts from "you / your decks" to "your team / your workspace." The retry cadence, the 30-day pause, and the reason block are all identical to the individual sequence above.
| Individual copy | Team copy |
|---|---|
| your {{plan_name}} plan | your team's plan on {{workspace_name}} |
| your account stays active | your workspace stays active |
| your decks become view-only | every member's decks become view-only |
